Privacy Policy
We collect the minimum we need to do good work for you, we never sell it, and below we explain exactly why we ask for what we ask for.
1. Who We Are
Panoptic Digital Architecture, LLC (“PDA,” “we,” “us,” or “our”) is a digital services company based in Dahlonega, Georgia. We design and build websites, run search and generative-engine optimization, set up CRM and marketing automation, and support small and mid-size businesses across Georgia and the Southeastern United States.
This Privacy Policy explains what information we collect through panoptic360.com, why we collect it, how we use and protect it, and what choices you have. It also covers information we collect in the course of a client engagement, unless a separate signed agreement says otherwise. By using our website or submitting a form, you're agreeing to the practices described here.
2. Scope and Our Commitment to You
“Personal information” means anything that identifies you or could reasonably be linked to you: your name, email address, phone number, or business details, for example. We only collect what's genuinely useful to us for the reasons explained below, not simply because we're able to.
If any part of this policy doesn't sit right with you, the simplest option is to not submit a form or otherwise share information with us. Browsing the site itself doesn't require it. If you have questions before deciding, email us first; see Section 18.
3. Why We Collect and Use Your Information
We try to be specific about why we ask for information, rather than leaning on one blanket justification. Most of what we collect falls into one of four categories.
Necessary to do business with you
When you fill out a contact or intake form, you're asking us to respond, or we're preparing to enter a service relationship. We use what you provide to identify you, reply to your request, and, if you become a client, deliver the services described in your agreement.
With your consent
Some information we only collect because you've chosen to give it to us: opting into an email update, for instance, or asking us to introduce you to a partner we recommend. You can withdraw this consent at any time by emailing contact@panoptic360.com; we'll stop the specific use you're withdrawing from, though this may limit what we can do for you going forward.
Legitimate business interests
We sometimes process information because it's reasonably necessary to run our business responsibly: keeping records for accounting and legal purposes, monitoring the site for security and abuse, or responding to messages sent to us unprompted. We weigh this against your privacy interests and only proceed where we think you'd reasonably expect it.
Legal obligations
Occasionally the law requires us to process or disclose information, for example in response to a valid subpoena, court order, or tax reporting requirement.
4. Information We Collect
What you give us directly
When you complete our contact or discovery form, we collect what you choose to enter: typically your name, business name, email address, phone number (optional), and a description of your project or goals. Our discovery intake asks for more detail about your business, brand, and target customers so we can scope the work accurately.
If you engage us as a client, we may also collect access credentials for third-party platforms (hosting, domain registrar, CRM, ad accounts), strictly as needed to deliver the services in your agreement and never as routine data collection.
What we collect automatically
Our website runs on Cloudflare's infrastructure, which logs standard request data (IP address, approximate location, browser and device type, pages requested, and timestamps) for security, performance, and abuse prevention. This data is governed by Cloudflare's own privacy policy; we don't use it to build advertising profiles.
5. Cookies
Cookies are small text files a website asks your browser to store so the site can recognize you or remember settings across pages. Our site currently uses only functional cookies necessary for it to run properly, such as Cloudflare's security and performance cookies. We don't run analytics or advertising cookies at this time.
If that changes, we'll ask for your consent before setting any non-essential cookie. You can control cookies through your browser settings at any time, though blocking functional cookies may affect how the site performs.
6. Advertising and Remarketing
We don't currently run Google Analytics, Meta/Facebook Pixel, remarketing tags, or any other behavioral advertising technology on this website. If we ever add third-party advertising tools, we'll update this policy first and won't activate them without appropriate consent where required.
7. How We Use Your Information
We use the information described above to:
- Respond to your inquiry, typically within three business days
- Evaluate your project and determine whether we're a good fit
- Prepare a proposal or scope of work if you move forward
- Deliver and support the services you've engaged us for
- Send service-related updates to current clients (not marketing)
- Keep records required for accounting, tax, and legal compliance
We don't send promotional emails unless you've opted in, and we don't run automated marketing sequences targeting prospective clients.
8. How We Share Your Information
We do not sell, rent, or trade your personal information. We share it only in these limited circumstances:
- Service providers who support our operations: Cloudflare for hosting and security, and the business tools we use internally (email, CRM, project management). These providers access only what they need to do their job and are bound to use it solely on our behalf.
- Professional advisors, such as our accountant or attorney, when needed to run our business responsibly.
- Legal authorities, if required by subpoena, court order, or applicable law, or to protect the rights, property, or safety of PDA, our clients, or others.
- With your explicit consent, for example if you've asked us to introduce you to a partner or connect you with a specific resource.
If we ever receive unsolicited information about you from a third party, such as a referral from an existing client, we treat it the same way we'd treat information you gave us directly, and use it only to follow up on the introduction.
9. Where Your Information Is Processed
PDA is a Georgia company, and we store and process client information in the United States. Our hosting provider, Cloudflare, operates a global network, which means requests to our website may be routed through, or cached at, data centers outside the U.S. purely for performance and security reasons. We don't otherwise transfer your personal information outside the United States.
10. Job Applications and Contractor Inquiries
If you send us a resume or reach out about contract or employment opportunities, we'll keep that information for up to two years in case a relevant opportunity opens up, unless you ask us to delete it sooner.
11. Data Retention
We keep personal information only as long as we reasonably need it: generally for the length of an active or prospective client relationship, plus up to three years afterward for our own records, or longer if the law requires a specific retention period (tax records, for example). You can ask us to delete your information sooner; see Section 13.
12. Data Security
Our website runs over HTTPS, encrypting data in transit between your browser and our servers. Access to stored client information is limited to PDA personnel who need it to do their jobs. That said, no method of transmission or storage is completely secure, and we can't guarantee absolute security.
13. Your Rights and Choices
Regardless of where you live, you can ask us to:
- Tell you what personal information we hold about you
- Correct information that's inaccurate or out of date
- Delete your information, subject to legal retention requirements
- Stop using your information for a specific purpose you'd previously consented to
Email contact@panoptic360.com with the subject line “Privacy Request,” and we'll respond within 30 days. If you're a California resident, or otherwise covered by a state privacy law granting additional rights, those rights apply too: just let us know and we'll honor them.
14. Children's Privacy
Our services are intended for business owners and professionals. We don't knowingly collect personal information from anyone under 18. If you believe a minor has given us information, contact us and we'll delete it promptly.
15. Links to Third-Party Sites
Our site may link to third-party sites, such as client websites, case studies, or outside resources. This policy only covers panoptic360.com. We aren't responsible for the privacy practices of sites we link to, so review their policies separately.
16. How to File a Complaint
If you're unhappy with how we've handled your information, email us first at contact@panoptic360.com; most concerns are a quick fix. If we can't resolve it directly, U.S. residents may file a complaint with the Federal Trade Commission or with their state Attorney General's consumer protection office.
17. Changes to This Policy
We may update this policy as our practices or the law change. When we make a material change, we'll update the effective date above. Continuing to use our site or services after that date means you accept the update.
